A 30-minute initial advisory conversation with Brian Wade, Founder & Principal Advisor. What happens in a Technology Assessment?
An aging phone system, an office move, a renewal, or a change in staffing can prompt a wider communications decision. We help Seattle businesses assess phone, voice, and collaboration requirements, including VoIP, cloud phone, and UCaaS options. The applicable carrier or platform provider delivers the selected service.
Start with your calls, people, and workflows
Before comparing business phone service providers, we clarify what needs to work today and what may change. Small businesses, hybrid teams, and organizations with several locations can have very different requirements.
- Call flows: main numbers, reception, transfers, queues, business hours, voicemail, and after-hours handling.
- Users and locations: desk phones, computer or mobile calling, shared phones, remote staff, and expected growth.
- Workflows and integrations: customer records, scheduling, meetings, team messaging, and contact center needs.
- Existing commitments: phone numbers, devices, contracts, connectivity, decision deadlines, and any equipment that still depends on a phone line.
Compare business phone systems and service options
VoIP and cloud phone
VoIP carries calls over an internet or IP network. A cloud phone or hosted PBX service places the phone platform with the provider. Compare call handling, devices, mobile access, administration, and support. Features and charges depend on the service and plan.
UCaaS and collaboration
Unified Communications as a Service can bring calling, messaging, meetings, and collaboration together. Consider whether consolidating tools improves daily work and whether the additional features justify the cost.
Existing PBX and specialized lines
Keeping an on-premises PBX, using SIP trunking, or planning a staged replacement may deserve consideration. Traditional lines, fax, alarms, and other connected equipment need specific compatibility review by the responsible provider or specialist.
Microsoft Teams Voice, Zoom Phone, and RingCentral may be relevant when comparing cloud calling and collaboration. The platform decision depends on your requirements, existing tools, service availability, and support expectations.
Look beyond the monthly price
- Total cost: users, calling plans, devices, add-ons, integrations, implementation, training, taxes, and fees.
- Contracts: term, renewal provisions, notice dates, cancellation charges, and flexibility to change user counts.
- Provider support: contact channels, coverage hours, escalation process, and responsibility for devices, applications, and connectivity.
- Practical fit: call handling, usability, administration, security requirements, and the work involved in changing systems.
We explain why an option fits and where it introduces compromises. Retaining your current service remains an option when it continues to meet the need.
Plan number porting and migration responsibilities
Keeping business numbers starts with confirming portability, account details, authorizations, and the receiving provider’s requirements. The providers confirm eligibility and coordinate the transfer under the agreed plan. Dates depend on their processes and the readiness of the business.
We help clarify dependencies, transition timing, and questions for the selected providers. The plan should assign call-flow configuration, device setup, integrations, user training, testing, and acceptance to the people carrying out that work. Existing service cancellation should be coordinated with the agreed transition milestones.
Voice quality and availability depend on the platform, internet connection, local network, devices, and power. Where appropriate, we help evaluate connectivity and backup options with your provider and IT team.
Clear responsibilities through the transition
Caisson's advisory role
Understand requirements, assess needs, compare technologies and providers, explain trade-offs, recommend appropriate solutions, coordinate selected providers, and provide ongoing guidance and advocacy.
Your providers and IT team
Technical installation, configuration, migration, monitoring, operation, and support typically sit with the applicable provider and/or client IT team. Responsibilities are clarified for the agreed work.
Caisson can coordinate provider conversations and help keep requirements and open issues clear. After the transition, we remain available for provider questions, service escalations, renewals, and changing needs. Technical troubleshooting and service restoration remain with the responsible provider and/or IT team.
Any additional Caisson delivery role would be specifically defined and agreed as part of the scope.

Questions about business phone service
Can you help a small business choose a phone system?
Yes. We start with your users, customer calls, budget, and existing services. The comparison focuses on the features you need and the support arrangement your team can work with.
Do you install or manage the phone system?
Caisson provides advice, provider comparison, coordination, and ongoing guidance and advocacy. Installation, configuration, number-port execution, platform operation, and technical support typically belong to the applicable provider and/or your IT team under the agreed scope.
How long does a phone-system transition take?
Timing depends on the provider, number porting, devices, integrations, site readiness, and the agreed migration plan. We help clarify those dependencies before a date is committed; there is no standard timeline that fits every business.
How is Caisson compensated?
Caisson may be compensated by a selected provider in some engagements; where applicable, we explain the arrangement. Recommendations remain based on fit with your organization. Read our approach to provider options and compensation.

Start with a focused advisory conversation
The initial Technology Assessment is a 30-minute advisory conversation with Brian Wade, Founder & Principal Advisor. We discuss your situation, clarify the decision, and identify an appropriate next step. Technical testing, a detailed audit, and a written report are not included. Any deeper Technology Foundation Review or other advisory engagement is separately scoped. Timing, commercial arrangements, and any written deliverables are agreed before further work begins.
Make your next phone decision with clear priorities
Bring the call-handling problem, renewal date, office move, or platform question in front of you. We can help clarify what to compare and who needs to be involved.
